The rental fee varies based upon the details of the event; however, the fee covers 12 hours of venue access.

The deposit is due at the time of contract signing and is nonrefundable.

No, there are not; however, client is responsible for any damage to Venue property, excess cleaning, overtime charges, or other costs resulting from the Event, including the actions of guests, vendors, or invitees. Venue reserves the right to invoice Client for such charges following the Event, and Client agrees to pay all outstanding amounts within five (5) days of receipt of invoice.

Rescheduling Policy
Client may request to reschedule one (1) time, subject to the following conditions:
• Written notice must be provided to Venue
• New Event Date must occur within twelve (12) months of original Event Date
• The new date is subject to Venue availability and written approval
• All payments, including Retainer and Security Deposit, transfer to the new date
• If the new date reflects higher seasonal or peak pricing, the difference will be added to the Total Contracted Amount.
Requests made fewer than sixty (60) days prior to the Event Date will be accommodated when possible; however, if the date cannot be rebooked, the request may be treated as a cancellation.
Cancellation Policy
Written notice is required for cancellations.
• The Retainer is non-refundable and secures the Event Date.
• If cancellation occurs more than one hundred twenty (120) days prior to the Event Date, any payments made beyond the Retainer will be refunded.
• If cancellation occurs between one hundred twenty (120) and sixty (60) days prior to the Event Date, payments made are non-refundable.
• If cancellation occurs fewer than sixty (60) days prior to the Event Date, Client is responsible for one hundred percent (100%) of the Total Contracted Amount.
These amounts are considered reasonable pre-estimates of damages due to lost booking opportunities, administrative costs, and revenue disruption.

The Venue offers over 12,000 square feet of event space. For planning purposes, the venue accommodates approximately:
• 470 guests for seated dinner
• 500 guests for ceremony seating
• 750 guests for standing reception
The maximum permitted occupancy is 860 guests pursuant to fire code regulations. Under no circumstances shall this number be exceeded.
Final approved guest count is subject to Venue approval based on floor plan, staging, furniture placement, bar locations, and safety requirements. Venue reserves the right to require adjustments to layout or guest count to remain compliant with safety regulations.

Two events would not be allowed to book different areas of the Theodore without it being discussed with both parties beforehand.

To ensure guest safety and traffic flow, valet service may be required based on guest count. Valet services will be coordinated by Venue through an approved provider. Costs are billed to Client. Venue is not responsible for loss or damage to vehicles or personal property.

You may bring your own alcohol. There will be a corkage fee per person.

Client may select vendors from Venue’s preferred vendor list for rentals, lighting, AV, and specialty equipment. Outside vendors must:
• Be licensed and insured
• Provide certificate of insurance naming Venue as additional insured
• Receive written approval from Venue
Venue reserves the right to reasonably deny vendors who do not meet operational or insurance standards.

Client shall obtain and maintain commercial general liability insurance covering the Event with minimum limits of $1,000,000 per occurrence and $2,000,000 aggregate. Coverage shall be primary and non-contributory. Venue, its owners, officers, employees, and agents shall be named as Additional Insureds on such policy. Client shall provide a certificate of insurance no later than fourteen (14) days prior to the Event Date. Client’s policy shall include a waiver of subrogation in favor of Venue. Failure to provide proof of insurance may result in cancellation of the Event without refund. You may get said insurance through companies that cover commercial events. One that we recommend is CPH Insurance.
